Please read this Privacy Policy carefully. By using and accessing any of the Services, you acknowledge that you have read this Privacy Policy and understand the collection, use, and disclosure of your information as described below.

1. Personal Information We Collect

When we use the term “personal information,” we are referring to information that identifies or can reasonably be linked to you. Depending on how you interact with our Services, we collect the following:

  • Contact Details: Your name, billing address, shipping address, phone number, and email address.
  • Financial Information: Payment card information, transaction details, and form of payment (processed securely by our payment gateways).

  • Transaction Information: Items you view, put in your cart, purchase, return, or exchange.
  • Communications: Information included in your customer support inquiries.
  • Device & Usage Information: Information about your device, browser, IP address, and how you navigate our website.
  • Comments: When visitors leave comments, we collect the data shown in the comments form, the visitor’s IP address, and browser user agent string to help spam detection. An anonymized string created from your email address (a hash) may be provided to the Gravatar service. After approval, your profile picture is visible to the public in the context of your comment.
  • Media: If you upload images to the website, you should avoid uploading images with embedded location data (EXIF GPS) included, as visitors can download and extract this data.

2. Cookies and Tracking Technologies

We use cookies to enhance your experience:

  • Comments: If you leave a comment, you may opt-in to saving your name, email, and website in cookies for one year for convenience.
  • Login & Accounts: A temporary cookie is set on the login page to check if your browser accepts cookies. When you log in, cookies save your login info (2 days) and screen choices (1 year). Selecting “Remember Me” extends login cookies to two weeks.
  • Editing: If you edit or publish an article, an additional cookie (expiring after 1 day) saves the post ID of the article.

3. How We Use Your Personal Information

We use your personal information for the following purposes:

  • Provide and Improve Services: To process payments, fulfill orders, manage your account, arrange shipping, process returns, and create a customized shopping experience.
  • Marketing and Advertising: To send promotional communications and show online advertisements based on your activity, subject to your communication preferences.
  • Security and Fraud Prevention: To authenticate your account, provide secure payments, and detect/investigate fraudulent or malicious activity.
  • Communication: To provide customer support and maintain our business relationship.
  • Legal Reasons: To comply with applicable laws, respond to legal processes, and enforce our terms.

4. Who We Share Your Data With

We may disclose your personal information to third parties for legitimate purposes, including:

  • Service Providers: Vendors who perform services on our behalf, such as web hosting, payment processing, data analytics, customer support, and shipping fulfillment.
  • System Functions: If you request a password reset, your IP address will be included in the reset email. Automated spam detection services may check visitor comments.
  • Business Partners: For marketing and advertising services, subject to your right to opt-out.
  • Legal Obligations: In connection with a business transaction (like a merger), to comply with subpoenas, or to protect the rights and safety of our users.

Embedded Content Articles on this site may include embedded content (e.g., videos, images). Embedded content from other websites behaves exactly as if you visited the other website. These websites may collect data about you, use cookies, embed third-party tracking, and monitor your interaction.

5. How Long We Retain Your Data

We retain your personal information based on what is needed to maintain your account, provide Services, comply with legal obligations, or resolve disputes.

  • Custom Artwork Files: The digital files, raw images, and personalized details (such as handprints, paw prints, and birth statistics) provided for custom orders are retained securely for 6 months after your order is dispatched. This allows us to assist with any transit issues, remakes, or immediate repeat orders for family members. After 6 months, these personalized design files are permanently deleted from our systems to protect your privacy.
  • Order and Financial Records: Basic order information (such as your name, billing address, and transaction amount) is retained for up to 7 years to comply with UK tax and accounting laws.
  • Comments: Retained indefinitely to automatically recognize and approve follow-up comments.
  • Registered Users: We store the personal information provided in user profiles. Users can see, edit, or delete their personal information at any time (except usernames). Website administrators can also see and edit that information.

6. Your Rights and Choices

Depending on where you live (including the UK and European Economic Area), you have rights regarding your personal data:

  • Right to Access/Know: Request a copy of the personal data we hold about you.
  • Right to Delete: Request that we erase your personal data (excluding data we must keep for administrative, legal, or security purposes).
  • Right to Correct: Request corrections to inaccurate information.
  • Right of Portability: Request that we transfer your data to a third party.
  • Right to Opt-Out: Opt-out of targeted advertising or promotional emails (via the unsubscribe link).
  • Objection & Withdrawal: Ask us to restrict processing or withdraw your consent at any time.

We will not discriminate against you for exercising these rights. We may need to verify your identity before processing requests.

7. Security and International Transfers

  • Security: No security measures are impenetrable. We recommend not using unsecure channels to communicate sensitive information.
  • International Transfers: We may transfer, store, and process your personal information outside the country you live in. If transferred out of the UK or EEA, we rely on recognized transfer mechanisms like Standard Contractual Clauses to ensure adequate protection.

8. Children’s Data and Personalized Artwork

Our website and Services are intended for use by adults. We do not knowingly allow children to create accounts, make purchases, or use our Services directly.

Custom Artwork Data: Because we specialize in customized baby and child artwork, we frequently process personal data relating to children (such as names, birth dates, birth weights, and hand/footprints). We only collect this information when it is explicitly provided by a parent, legal guardian, or an adult purchasing a gift. By providing us with a child’s details for customization, you confirm that you have the legal right to share this information with us. We use this specific data solely for the purpose of designing, manufacturing, and fulfilling your custom order. We treat this personalized information with strict confidentiality, keep it secure, and never use a child’s details for our own marketing purposes without your direct, explicit consent.

If you are a parent or guardian and believe your child has used our website to provide us with information directly, please contact us so we can delete it.

9. Portfolio and Social Media Use of Custom Artwork

We are incredibly proud of the custom pieces we create, whether they feature baby footprints, adult handprints, or dog paw prints! However, because our custom prints often contain personal details (such as names, dates, or unique prints), we will never use a customer’s finished piece containing identifiable information for our website hero images, social media, or advertising without your explicit permission.

We ask for your consent to feature your artwork during the ordering process. If you kindly grant us permission to show off your finished piece, you always retain the right to change your mind and withdraw that consent at any time. Simply contact us at signmyart@outlook.com, and we will promptly remove the images from our active marketing platforms.

10. Third-Party Websites

Our website may provide links to platforms operated by third parties. We are not responsible for the privacy or security of such sites. Please review their privacy policies before sharing information.

11. Contact Us
